In order to be a successful conference planner,you should have a committee, realistic budget, the right venue, party contracts, effective speakers, good program planning and smooth execution.

You also need to know what kind of conference are you going to plan, for instance, it can be a sales conference, seminars, workshops, training courses, or incentive events.

You can start by appointing persons who are going to be the planning committee, within the committee; you should appoint one conference coordinator. This coordinator is going to in charge of the total conference planning. When appointing the committee, base its size to the conference that will happen. When the size of the committee is not appropriate with the conference, you will only get disoriented and no proper decisions are going to be made.

When you appoint the members of the committee, make sure that they are someone who is qualified for the position, you have to be sure that they already have experiences in activities like these. It is also important that your members are dependable and responsible. Member must know how to get along well with their peers. They should be someone who can make decide wisely and at the same time knows how to follow certain rules that the committee have set in that conference planning.

The conference coordinator can be someone who is hired from outside, or someone you appointed in the committee. Make sure that this person is highly experienced and skilled when it comes to conference planning. You may find it much easier to get someone from the committee as the coordinator, but if you will look on the positive side, hiring someone who is experienced in this kind of work will make other members of the committee more concentrated on their appointed jobs.

The planning should be given ample thought including in the process is the sponsor, planning committee and the coordinator. The budget should be assigned to the conference coordinator; he must approve each amount of expense that is made before it can be released from the committee.

The location of the conference should also be considered, for instance you may decide to choose a place located near the airport and the restaurant for easy access on these places. Another important thing that you need to plan is the source speaker. In choosing the speaker, make sure that he is someone who knows the topic very well. Most planning committee makes a mistake of hiring the most popular speaker in town. These are all some of the factors you need to consider in conference planning.
